Send a standalone E-Sign request

Send PDFs directly for a customer’s signature. Place Customer and Agent fields, fill your Agent fields, then send. Signing in multi-step Workflows uses different controls.
Upload and preview the PDFs
Section titled “Upload and preview the PDFs”Where: E-Signatures > New E-Sign.
Email is required. Recipient Phone Number (Optional) adds the signing link by SMS when sending or resending. Use a 10-digit US number or +country code for an international number.
Uploading opens Add E-Sign Fields; it does not send the request.
- Choose Office and enter Recipient Name, Recipient Email, and Document Title. Add Recipient Phone Number (Optional) if the customer should also receive SMS.
- Use Choose PDFs to Sign. Add more PDFs appends files to the list; use the arrows in Document Order to rearrange them or the remove icon to delete one. The combined limit is 90 MB; Total shows the remaining allowance.
- Click Preview & Continue, view the pages with Prev / Next, then click Looks Good – Upload. Use Back to change the selection.
Place and adjust Customer or Agent fields
Section titled “Place and adjust Customer or Agent fields”- Click Add Field, choose Signature, Initials, Date, or Text, then choose Customer or Agent.
- Click Place Signature, Place Initials, Place Date, or Place Text, then click the PDF. Click again to add another field of that type.
- Use Stop Placing before dragging or resizing boxes. Undo removes the last placement; a field’s trash icon deletes it.
Save & Send disabled?: Add at least one field, separate overlapping boxes, and fill every Agent field. Customer fields stay blank for the recipient.
Add your agent signature, initials, and date
Section titled “Add your agent signature, initials, and date”Agent E-Sign Controls appears after an Agent field is placed. Clear Agent Fields empties all Agent values, including Text, without deleting the boxes.
- Place Signature, Initials, or Date fields with Agent selected.
- Click Add Agent Signature, enter Type your full name, then Save My Signature.
- Click Fill Agent Fields to apply your signature, initials, and today’s date. Repeat the same sequence to change your name.
Fill or change an Agent Text field
Section titled “Fill or change an Agent Text field”Fill Agent Fields does not fill Text. Clear empties the value; refill it before sending.
- Choose Add Field > Text, select Agent, click Place Text, then click the PDF.
- Enter Text value (up to 500 characters) and click Save Text. Use the field’s pencil icon to edit it.
Send or resend the signing link
Section titled “Send or resend the signing link”Resend is disabled for Viewed and Signed. A Sent status alone does not establish email or SMS delivery; use the send result and Event Log, including SMS Sent or SMS Failed.
If no email arrives within five minutes, ask the recipient to check spam or junk. Email and SMS can fail independently; follow the displayed error before resending.
SMS Sent confirms submission to the messaging service. Check Text Messages > Search for final SMS delivery status.
Request creators receive opened and signed updates in Notifications. Open the request to check and download its completed documents.
- Click Save & Send after filling the Agent fields. The Send to Customer window sends automatically and displays separate email and SMS results when a phone was provided.
- In E-Signatures, use Search e-sign requests > Search. Choose Edit Fields for a Draft or View for a sent document.
- For delivery follow-up, open More actions > View details > Event Log. When available, More actions > Resend email sends email again; Resend email & SMS sends both when the request has a phone.
Find a request in E-Sign Report
Section titled “Find a request in E-Sign Report”Where: Reports > E-Sign Report.
The report’s Status filter does not change status.

- Choose Office, Start, End, and Status. Narrow by Customer, Recipient Email, or Document, then click Search.
- Click the Details eye icon for Request Info, assigned Fields, and Event Log.
Download the signed document and certificate
Section titled “Download the signed document and certificate”Where: Request > More actions > View details, or E-Sign Report > Details.
For a Signed request, use Download Signed PDF and Download Certificate. Download Original retrieves the uploaded source. Requests that are not Signed show Download Document.
Help the customer sign a standalone request
Section titled “Help the customer sign a standalone request”Date- or Text-only requests skip signature creation. If the document or signer is wrong, contact the sender before signing.
- Open the signing link from the email or SMS and click Start. If prompted, enter Type your full name and click Save Signature.
- Click each highlighted customer field. For Text, enter Text value and click Save Text. Use Next to advance.
- Click Submit, then Submit in Ready to Submit. Choose Review Again to go back; use Download after completion.
